Who is responsible for your information

The party responsible for your personal information on notarypublic.center is Notary Public Center (DBA of Riveros International Business Corp), hereinafter «Notary Public Center», with an office at 175 SW 7th St, Suite 1905, Miami, FL 33130, United States. You can contact us at info@notarypublic.center or by phone and WhatsApp at +1 (305) 507-8464, Monday to Friday, 9:00 AM to 5:00 PM (Miami time).

Personal information we collect

We are not interested in collecting all of your personal data. The main reason we collect your personal information is to facilitate and improve the service and the experience our clients expect from us.

The definition of personal information varies slightly around the world. To guarantee your privacy and the protection of your information, we define it as any information that can be used to identify you or another individual.

We collect personal information about you in several ways.

Information you share with us

We collect the personal information you share with us when you contact or interact with us through our website (including the contact and appointment forms), email, phone, WhatsApp, chat or video call, or in person at our office, booths and fairs.

For example, you will provide information when you contact our team of professionals, make a phone inquiry, book an appointment, complete a survey or questionnaire, or connect with us through a social network or instant messaging.

Through these interactions you may share with us your name, address, email address and contact phone number. In certain circumstances we will need this information to provide the service you requested: for example, when you purchase a service, we will need the address to which we must send you a document.

To provide services such as notarization, fingerprinting or document preparation, we also process the data and documents specific to each procedure: for example, your identity document and the documents you give us. In online notarization, identity verification may include the last 4 digits of the Social Security Number, identification questions or biometrics, as described in our Terms and Conditions.

Online notarization and video calls

Online notarization sessions are recorded in audio and video. This is required by Florida law: the recording is kept for at least ten years. Identity verification video calls are also recorded in audio and video.

Information about your interactions online

We collect and store limited personal information and some anonymous, aggregated statistical data from all users of our website, whether you actively provide it to us or are simply browsing it. The information we collect includes the Internet Protocol (IP) address of the device you are using, the browser you use, your operating system, the date and time of access, the address of the website from which you reached ours and how you use our site.

We use this information to know whether our website works properly, how it is used and which information users find most interesting.

We also collect and manage information about your interest in our promotional campaigns and our online advertising on websites other than ours (for example, on Google, YouTube and other social networks).

In most cases, this information is collected through cookies and similar technologies.

Cookies

We use cookies on our website. Cookies are small text files that websites store on your device through the browser. They began to be used in the mid-1990s and are one of the most widely used technologies on the Internet.

We use cookies that are necessary for the site to work, as well as Google analytics and advertising cookies (Google Analytics and Google Ads, through Google Tag Manager). Some of them collect personal information about you, which we will use in accordance with this policy.

When you first visit, the cookie notice lets you accept all cookies, reject them or choose by category (necessary, functional, analytics, performance and advertising). You can change your choice at any time from the cookie notice button. Please note that we do not currently respond to «Do Not Track» (DNT) signals.

Who we share your information with

We do not sell your personal information. We share it only with the providers that help us deliver our services and operate the website, and only to the extent necessary:

  • Google: website and advertising measurement (Google Analytics, Google Ads and Google Tag Manager), the office map (Google Maps), form protection (reCAPTCHA) and the office’s email and documents (Google Workspace).
  • CookieYes: the notice that stores your cookie preferences.
  • Kommo and WhatsApp: the conversations you start by chat or WhatsApp.
  • Zoom: video calls.
  • Electronic signature and online notarization platform: the one we use for those services.
  • MyCase: management of cases, invoices and payments.
  • Artificial intelligence assistants: based on OpenAI models, they help our team organize documents and answer messages, under its supervision.
  • GoDaddy, Wordfence and TrustedSite: hosting, security and basic traffic statistics for the website.

We may also share your information when required by law or by a competent authority.

Email communication

As a user of our services, we will send you email messages. Whenever you agree, we would also like to keep you informed about Notary Public Center news we believe may interest you, such as service updates, upcoming events or fairs, or new laws that may affect you. We want to make sure you are comfortable with the messages you receive from us. If you wish to change how we communicate with you, or want us to stop contacting you, simply send us an email with that request to info@notarypublic.center.

We collect information about how you respond to our newsletters: for example, whether you receive them, open them, click a link in the message or ask us to stop contacting you (using the unsubscribe option we include in them).

We use this information, alone and together with your client history (the information you share with us), to stop sending you our support or marketing messages when you ask us to. We also use it to make our emails as relevant as possible, with content we believe may interest you based on how you have responded to our previous emails. You have the right to object to this use of your information; to do so, send us an email with that request to info@notarypublic.center.

Social media

We love connecting with you through social media. You can use it to contact us about our services or to share your opinion about them publicly. We analyze social media and publicly available websites to better understand what people say about us and our services, and to assist clients who prefer to reach us that way.

The information we collect through social media and the Internet —such as Facebook, YouTube or Instagram— sometimes includes personal information that has been published and is publicly available. We make sure to anonymize, or properly attribute to its source, all the information we use.

These sites usually have their own privacy policies, which explain how they use and share your personal information. We recommend that you read them carefully before using them, to make sure you are comfortable with how they collect and share your information.

Information we collect at our office, booths and events

When you visit our office, booths or events in person, you may share personal information with us, such as your name, contact details and payment details.

We also collect personal information about you through our video surveillance system, recordings and photographs. Security cameras are used mainly for security reasons, although in some cases they also help us measure client traffic (that is, how many people enter and leave our office). At some of our events and exhibitions (for example, at a fair) we will record and take photographs, which we will use for business purposes (for example, to publish them on our social media). We will place notices at the office, fairs, booths and events where we use video surveillance or where we will record or take photographs, to let you know that we will collect personal information about you.

Protection of your personal information

We are committed to protecting your personal information. We use appropriate technical and organizational measures, such as encryption, to protect your personal information and your privacy, and we review these measures periodically. We protect your information through a combination of physical and IT security controls, including access controls that restrict and manage how your personal data is processed, administered and handled. We also make sure our employees are properly trained to protect your personal information. Our procedures provide that, on occasion, we may ask you for proof of identity before sharing your personal information with you.

In the unlikely event that we suffer a security breach that puts your personal information at risk and we need to notify you, we will do so.

Your requests

You may ask us at any time to access the personal information we hold about you, to correct it or to stop receiving our communications, by writing to info@notarypublic.center. Before handling your request we may ask you for proof of identity. Some records, such as the recording of an online notarization, must be kept for the period required by law.
